This Privacy Policy explains how Aduna International School (“Aduna School,” “we,” “us,” or “our”) handles personal information collected through adunaschool.org, including the admissions page, contact details, media embeds, and links to the school blog, learning portal, and donation services. We aim to handle personal information in accordance with Ghana’s Data Protection Act, 2012 (Act 843).
1. Who is responsible for your information
Aduna International School is responsible for personal information collected through this Site. You can contact us at info@adunaschool.org, by phone at +233 (0) 24 6159 003, or in writing at Aduna International School, behind Konongo-Odumase Senior High School (KOSS), Odumase, Asante Akyem Central Municipality, Ghana.
2. Information we collect
Depending on how you use the Site, we may receive:
- Admissions information: a student’s name, date of birth, language, religion if provided, requested level and class, former school, and information about a parent or guardian such as name, relationship, phone number, email address, city, and country.
- Contact information: details and the contents of messages you send to the school.
- Donation information: information needed to identify or acknowledge a donation. Payments are made through the payment provider shown on the donation page; payment-card details are entered with that provider.
- Technical information: information that a browser or hosting service may provide when a page is requested, such as IP address, device and browser type, pages requested, and approximate request time.
- Preference information: whether you have chosen to receive school news, events, or offers.
Please do not send sensitive information that the school has not requested. The religion field on the admissions form is optional. Information about a child should be submitted by a parent, guardian, or another person authorised to act for the child.
3. How we use information
We use information for purposes such as responding to inquiries, reviewing applications, contacting parents or guardians, administering admissions and school services, acknowledging and reconciling donations, maintaining the security and operation of the Site, and meeting legal obligations.
We use contact details for school news, events, or offers only where the relevant person has chosen to receive those communications. You can withdraw that choice at any time by emailing info@adunaschool.org. Your choice about marketing does not determine whether an application is reviewed.
We seek to collect and use information that is relevant and proportionate to these purposes. Where processing depends on consent, you may withdraw consent; withdrawal does not affect processing that took place before withdrawal or processing that may continue on another lawful basis.
4. Children’s information
The admissions page is intended for a parent, guardian, or authorised representative to submit information about a student. Children’s information is used for admissions and school-related purposes and is accessible only to people who need it for those purposes or to service providers supporting the Site and school operations. Please contact us if you believe a child’s information was submitted without appropriate authority.
Some information requested by the admissions form, including a child’s date of birth and optional religion field, can be sensitive. We ask families to provide only information that is relevant to the application and to leave optional fields blank when they do not wish to provide that information.
5. When information may be shared
We may share relevant information with authorised school staff and service providers who support our website, form delivery, communications, hosting, security, or payment processing. These providers may process information on our behalf under their own service arrangements.
The Site currently uses or links to services such as SendPulse for the embedded admissions form, Google services including advertising and fonts, YouTube video embeds, AddToAny sharing tools, and PayPal donations. The school blog and e-learning portal may also have separate systems and privacy notices. When you use those services, the provider may receive information directly from your browser and process it under its own privacy terms. We do not control the privacy practices of external providers.
We may also disclose information when required by law, to respond to valid legal processes, to protect a person’s safety, or to protect the rights and security of the school and its users.
6. Processing outside Ghana
Some website and service providers may operate or store information in countries outside Ghana. The specific location may depend on the provider and service used. Where personal information is transferred or accessed across borders, we will take steps required by applicable law to protect it. You may contact us to ask which service provider is involved in a particular interaction.
7. Cookies and similar technologies
The Site and embedded third-party services may use cookies or similar technologies to make pages work, remember settings, measure or support advertising, or enable media and sharing features. Your browser may allow you to block or delete cookies. If you block them, some embedded features may not work as intended. Third-party services control their own cookies and related technologies.
8. How long information is kept
We keep personal information for as long as reasonably needed for the purpose for which it was collected, including to complete an admissions inquiry, maintain student or donation records, respond to a request, meet legal obligations, resolve disputes, and protect the Site. Information used for direct marketing is retained for that purpose until you withdraw consent or ask us to stop, subject to any records we must keep for other purposes.
9. Security
We use reasonable technical and organisational measures intended to protect information against loss, unauthorised access, alteration, or disclosure. No internet transmission or storage system can be guaranteed completely secure. Please contact us promptly if you believe information submitted through the Site has been exposed or misused.
10. Your choices and rights
Subject to applicable law, you may ask us for information about personal data we hold about you, request correction of inaccurate information, object to or seek to stop certain processing, withdraw consent where processing is based on consent, and ask us to stop using your information for direct marketing. A parent or guardian may contact us regarding a child’s information.
To make a request, email info@adunaschool.org with enough detail for us to understand and verify the request. We may need to confirm your identity or authority before acting. You may also contact Ghana’s Data Protection Commission if you have a concern about how your information is handled.
11. External links and policy changes
External websites linked from the Site have their own privacy policies. Please review them before submitting information or making a payment. We may update this policy as our services or practices change. The effective date at the top of the page indicates the latest version.
